Consequently, any ERP system now offers numerous functionalities, which overwhelm most of the enterprises, during project implementation. Enterprises are needed to pick up relevant components of the system and set up and align these components to meet their specific business requirement.
Configuring your ERP system is one of the most important parts of the process. Configuration is the normal set-up of the software, such as parameters, fields, and workflows. These changes are a normal part of any implementation and do not require changes to the source code. This means changing the parameters that meet your business’s financial, language, shipping, and customer-facing needs. You can also configure your ERP system to recognize revenue by a certain set of specifications, like a geographical unit or product line. Most configurations survive software updates, while certain customizations do not.

What is ERP configuration?

Configuration of an ERP system deals with handling of numerous usage controls, which can be switched off or switched on, so as to balance its functionalities to extant needs. First thing to happen is to install specific modules needed and configuring these modules, as per the scope of the project.

Configuration is not just about setting a few system parameters at initial installation. Maintaining and updating your system at regular intervals is an equally important aspect of a successful ERP implementation. Generally, the list of configurable ERP items should include:
  • Global system parameters
  • Company-specific configurations
  • User / group / role based configurations
  • Access levels and security management
  • Approval hierarchies for functional areas like expense sheet, vendor invoice,       purchase order etc.
  • Screen layouts and workflow management
  • Number series
  • Standard templates for entities such as Employees, Jobs etc.
Configuring these items to suit the needs of your business is essential to ensure ease-of-use as well as flexibility to adapt to changes within your business.

General Mode of Configuration:

  1. A function can be turned on or turned off or made optional.
  2. XOR i.e.to chooses only one flow that fulfills the specified condition.
  3. OR where a configuration supports optional activities or flow requiring all, none    or some of the activities.
  4. AND - indicate mandatory parallel flows.
Some configuration choices are irreversible e.g. if “negative inventory allowed” option is chosen, it cannot be reversed at a later stage. Some configurations are reversible e.g. purchase order quantity may exceed blanket order quantity or not. In some case if a specific choice is not made, configurable function can be switched on or off by default.
Why is ERP configuration necessary?
In an ideal world, we would expect that the initial setup of your ERP system will be more than sufficient to suit all of your business needs, but the reality is that it can be very difficult to achieve this right from the outset. There are many factors which might trigger the need to reconfigure the way you use your ERP system e.g. a new business strategy, profit and growth, mergers and acquisitions, new end-users, restructuring your teams for better productivity or simply improving user experience. All of these factors directly influence the way that you use your ERP system.
Having the ability to change the configuration of your system easily as your business needs change is a real plus for any ERP system and it can be (and probably should be) a deciding factor when selecting an ERP system for your Organization. Many ERP system administrators prefer to have full control of their system so that they can adapt to their changing business needs. Some of our customers also have a dedicated in-house team for ERP administration. But in both cases, it is important that they can change configurable elements themselves.
Is your ERP configurable?
“Yes, of course”, all ERP systems are configurable. However, there are some questions worth considering before you go with ERP:
  • To what extent can you configure ERP to suit your continuously changing business?
  • How easily can you change the configuration?
  • Can you do it yourself? Or do you need post-sales support from Synconics? 
Even if a pre-configured package for a specific vertical is chosen, the base configurations as mentioned above is needed to be done with extreme care, during implementation. This base configuration affects all the modules which form part of the implementation.
